Donation source authorisation guide

Please use the information below to help fill in our donation source authorisation form (DSA1)

The donation source authorisation form (DSA1) is used to confirm that Swiftaid can:

  • Uniquely identify eligible donations
  • Know exactly how much Gift Aid can be claimed
  • Ensure that Gift Aid/GASDS tax relief isn’t claimed more than once on each donation

Download the DSA1 form here

1

Name of Charity or CASC

Please include the full name of your Charity or Community Amateur Sports Club in this box.

2

HMRC Charities Reference

This is the reference your organisation was given when it registered for UK charity tax reliefs with HMRC. It usually starts with one or two letters followed by some numbers, such as AB12345. Please do not enter your Charity Commission number here if you are registered with them – this number doesn’t have any letters at the beginning.

3

Donation Descriptor

In order for Swiftaid to identify eligible donations, we need to know the exact description given to donations that will appear on a donor’s bank account. It should look something like:

Example Donation Description within donor bank account
Date Type Description Paid out
2 October 2018 POS YOUR CHARITY NAME BRISTOL UK £2.00

Please ensure your Donation Descriptor is as descriptive and unique as possible. You can contact your terminal provider for more information.

Donation Amounts

To limit Gift Aid to specific donation amounts, please list them in this section.

For example, let’s say you want Swiftaid to process Gift Aid on £2 donations only and ignore all other amounts.

Example donation amount
Date Type Description Paid out
2 October 2018 POS YOUR CHARITY NAME BRISTOL UK £2.00
1 October 2018 POS YOUR CHARITY NAME BRISTOL UK £5.00
21 September 2018 POS YOUR CHARITY NAME BRISTOL UK £10.00

Start & End Date

This is for when you want to process Gift Aid on specific dates only. Remember, Gift Aid can be claimed on any eligible donations from the previous 4 financial years.

In the example below, the charity wanted to start processing eligible Gift Aid on donations from the 2 October 2018 onwards, so all donations prior to this date are ignored by Swiftaid.

Example donation amount
Date Type Description Paid out
2 October 2018 POS YOUR CHARITY NAME BRISTOL UK £2.00
1 October 2018 POS YOUR CHARITY NAME BRISTOL UK £5.00
21 September 2018 POS YOUR CHARITY NAME BRISTOL UK £10.00

Processing Fees

Swiftaid can only claim Gift Aid on the money your organisation receives for each donation. With this in mind, we need to know of any card processing fees incurred by each donation. If the whole donation is eligible, please tick the ‘The whole donation is eligible for Gift Aid’ box.

Fee example *

Example processing fees
Donation amount £4
Card processing fee 1p *
Terminal provider fee 5% *
Total donation received £3.79
